Job Description

The PMO analyst is responsible for delivering a PMO service to qualified programmes and projects within Group Supply Chain (GSC). Being part of the GSC Project Portfolio team, this role brings portfolio and project management standards into the organisation and ensures their adherence. Being the link between the Project Portfolio team and the project delivery this role collaborates closely with the project and programme teams, ensures the tracking of delivery, supports risk, dependency and cost management across the projects, programmes, and portfolio, and provide the key measures of Portfolio health.

This role supports to further establish a programme-oriented central support structure designed to provide assistance to change initiatives within IB.

Key accountabilities

  • Deliver a comprehensive PMO service to support the delivery of projects and programmes
  • Administer, organise and facilitate Governance meetings (e.g., Programme Steering Groups, Workshops, etc)
  • Facilitate and support governance framework processes while keeping close alignment with GSC Project Portfolio to ensure compliance with the IB project & programme management governance standards.
  • Analysing programme data to provide comprehensive analytics for Programme and Portfolio management
  • Assist Programme and Project Managers throughout the project lifecycle
  • Support on identification, tracking and following up on issues, risks, and actions
  • Ownership of programme centralised documentation and collaboration space to ensure traceability and transparency.
  • Facilitate the programme internal information exchange via a centralised information, tool & methods hub
  • Quality assurance according to IB standards for all relevant documentations
  • Programme related day-to-day support on interdependency management, capacity and resource management, benefits management, project reviews, etc. in regular exchange with the overall GSC Project Portfolio
  • Provide guidance to Project Managers on applicable controls and processes, including investment approvals and reporting
  • Ensure quality and consistency of data entered by the Project Managers into the reporting tool
  • Support Lessons Learned activities
  • Act as coordinator in case of programme audits
  • Pro-actively seek for areas of improvements to processes and procedures for the successful delivery of programmes on time, in scope and budget.


Skills & Experience

  • Good understanding of project & programme lifecycles, governance and controls
  • Thorough, disciplined, well-structured and pro-active approach to tasks
  • Excellent administrative skills, highly organised with strong analytical abilities & attention to data quality
  • Assertive and strong communication skills (verbal, written and listening) with the ability to interact and communicate in a manner applicable to all levels.
  • Ability to integrate well as a part of an international team
  • Excellent Microsoft Office suite skills
  • Excellent verbal and written English skills
  • Customer-focused, service-oriented and responsive mind-set

Nice to have:

  • Minimum of one years’ experience of working within a Programme Office environment
  • Demonstrate good understanding of Project Management methodologies, project reporting and governance.
